Newsletter sending status
We are currently collecting signups for informational community updates about free PuzzleYYC events, resources, recaps, and volunteer opportunities. Newsletter sending has not started. When it does, you may withdraw consent at any time using the unsubscribe options below.
What we collect
PuzzleYYC is a community-run information site. We collect only what you provide and what's needed to operate the site:
- Newsletter sign-up data: when you sign up for updates, your email address, optional name, consent, and sign-up source.
- Cookies: see our Cookie Policy for the full table. Essential cookies only by default; analytics only with your consent.
- Behavioral analytics: with your consent, Google Analytics (GA4) records pageviews and on-site events, and Microsoft Clarity records cookieless session recordings and heatmaps with strict text masking. Both help us understand how the site is used so we can improve it.
- Email content: emails you send to hello@puzzleyyc.com, retained while needed to reply.
Why we collect it
To communicate launch updates to people who asked for them and improve the site. Legal basis under GDPR: consent (Article 6(1)(a)).
Who we share it with
We use third-party services to operate PuzzleYYC. Each is bound by their own privacy policy:
- Cloudflare: site hosting and content delivery (US/global). Cloudflare Privacy Policy.
- Airtable: newsletter signup storage. When you sign up for PuzzleYYC updates, your name, email address, and a record of your consent are stored in Airtable. Airtable acts as a service provider processing this data on behalf of PuzzleYYC, only as directed by us and only to operate the newsletter list. Airtable is a US-based company, and your data may be processed or stored in the United States or other jurisdictions where Airtable operates. Cross-border transfers are covered by standard contractual clauses or equivalent safeguards under Airtable's data processing terms. Airtable Privacy Policy.
- Brevo: newsletter delivery and unsubscribe processing. When newsletter sending is activated, your email address and consent timestamp will be sent to Brevo. Brevo will manage double-opt-in confirmation, newsletter delivery, subscription and suppression status, and delivery failures on behalf of PuzzleYYC. Brevo Privacy Policy.
- Google LLC: processes Google Analytics (GA4) data (pageviews and on-site events) when you accept the Analytics cookie category. Google LLC is certified under the EU-US Data Privacy Framework, and cross-border transfers are covered by Standard Contractual Clauses (SCCs) alongside that certification. Google Privacy Policy.
- Microsoft Corporation: processes Microsoft Clarity session recordings and heatmaps when you accept the Analytics cookie category. Clarity is configured cookieless on PuzzleYYC, so no cookies are involved, and page text is masked by default. Microsoft Corporation is certified under the EU-US Data Privacy Framework, and cross-border transfers are covered by Standard Contractual Clauses (SCCs) alongside that certification. Microsoft Privacy Statement.
We never sell, rent, or trade your data.
How long we keep it
Sign-up data: kept while you wish to receive updates. You can request deletion anytime. Email correspondence: kept for two years then deleted unless still active. Cookies: per our Cookie Policy.
Google Analytics (GA4) retains event and user-level data for 2 months on the PuzzleYYC property before automatic deletion. Microsoft Clarity retains session recordings (playback) for 30 days, and click data, aggregate data, and any sessions we label or favorite for 9 months; these retention windows are fixed by Clarity as a service and are not separately configurable by PuzzleYYC.
How to unsubscribe
Every newsletter we send will include an unsubscribe link. Click it and you are done. No account, login, or payment is required.
You can also unsubscribe by email:
- Send a message to hello@puzzleyyc.com with the subject line UNSUBSCRIBE
- We will process your request within 10 business days
- No forms, no fees, no friction
This unsubscribe request applies to PuzzleYYC newsletter updates. If you send us a direct question or support inquiry, our response emails are not affected by an unsubscribe request.
Where it's stored
The site is delivered through Cloudflare's global edge network, with primary processing typically in the US or Canada. Newsletter signup data is stored in Airtable and may be processed in the United States or other jurisdictions where Airtable operates. When newsletter sending is activated, the data needed to deliver and suppress messages will also be processed by Brevo. Where required, cross-border transfers use standard contractual clauses or equivalent safeguards.
Your rights
You have the right to:
- Access the data we hold about you
- Correct inaccurate data
- Delete your data (right to erasure)
- Export your data (portability)
- Object to or restrict processing
- Withdraw consent at any time
To exercise any of these rights, email hello@puzzleyyc.com with "Privacy request" in the subject. We aim to respond within 30 days.
To opt out of analytics specifically, withdraw the Analytics category in the cookie banner (Cookie Settings button at the bottom of any page). You can also opt out at the browser level, including with the Google Analytics opt-out browser add-on. PuzzleYYC honors Global Privacy Control (GPC) signals: if your browser sends a GPC signal, analytics stays off automatically and the cookie banner reflects that choice. Because Microsoft Clarity is cookieless on this site, its identifiability is already limited independent of any opt-out.
How to complain
If you believe we have mishandled your data and have not addressed it satisfactorily, you may file a complaint with:
- Canada: Office of the Privacy Commissioner, priv.gc.ca
- EU/UK: your local supervisory authority
Children's data
PuzzleYYC is open to all ages, but we do not knowingly collect personal data from anyone under 13 without a parent's consent. Family events involve adults registering on behalf of their families. If you believe we have collected data from a child under 13 without consent, please contact hello@puzzleyyc.com and we will delete it.
Changes to this policy
We may update this policy as the site evolves. The effective date above will change when material updates ship. If you've shared an email with us, we'll notify you of material changes by email to the address on file.
